Privacy Policy

I am registered as a sole trader operating as Handy Editorials. I offer freelance copyediting, proofreading and project management services to a variety of clients around the world.

I am committed to protecting your privacy and the personal information that I hold. This policy describes what information I require from my clients and how I use it.

What information do I require and why?

All information I request from you is either required for contractual reasons for processing, or to fulfil my legal obligations to HMRC (the UK tax authority).

When you contact me to enquire about my services or to request work done, I need to collect the following:

  • Your name
  • Your email address so I can communicate with you
  • Project details or any other information needed to reasonably respond to your enquiry
If we agree to work together, I will request the following additional information:

  • Your postal address, to be used on invoices
  • All files required to complete the work
On rare occasions, your details may have been passed to me by a third party (e.g. if you are an author of a book that I have been commissioned to edit by a publishing house). If this occurs, I will inform you of this within one calendar month of receiving the information and provide you with a copy of this policy.

You may wish to provide more information than stated above (e.g. telephone number). Any other information provided will be kept at the same level of protection as information that I need to collect.

How do I collect this data?

I only process information required. There are only two ways I receive your personal data:

  • You provide this yourself via email or telephone contact.
  • Your publisher or other party emails me your details when I work on your manuscript; in this instance I will inform you within one calendar month.

How do I use this data?

I use this data:

  • to contact you to respond to your enquiry
  • for communication throughout the work done
  • to fulfil the work requirements
  • for my own accounting processes and to remain compliant with HMRC should it request an audit
I will never use this data for marketing or promotional purposes without your written permission.

Where do I store the data?

The data I hold is stored in the following places:

  • Computer hard drive – my computer is password protected, and I use Norton security software
  • Gmail – Emails are stored on my password-protected Gmail account. Google’s privacy policy is here
  • OneDrive – Files are stored on my password-protected OneDrive account. Microsoft’s privacy policy is here
    NB If you object to your files being kept online, I can store your files on my hard drive and delete them upon request.
  • FreeAgent – For my internal accounting, I use FreeAgent software at www.freeagent.com. Their privacy policy is here
  • PayPal – I offer payment options via PayPal rather than bank transfers, but only upon request. Their privacy policy is here

How long do I keep the data for?

Data needed to comply with my obligations to HMRC i.e. name and address, will be kept for a minimum of seven years. I will keep your files for the same length of time; however, I am more than happy to delete them sooner upon request.

Do I share your data?

Unless I have your written permission, I do not share your data with anyone other than for legal purposes:

  • I am audited by HMRC
  • I am required to by law for legal proceedings; this will be upon receipt of a court order or similar request/instruction

What Service Do I Need?

Proofreading


Proofreading polishes your text
A proofreader corrects spelling, punctuation and grammar errors, and ensures consistency throughout your document. They do not edit your work.

Proof-Editing


Some clients need more than a basic proofread, but don't require (or don't know that they require) the full edit a copy-editor will provide. This extra "polish" is done during a proofread, where a small amount of grammatical editing is also included.

Copy-Editing


Copy-editing styles your text
Copy-editing is a more in-depth process, which looks at maintaining your style and structure, and ensures the correctness of the document and checks that it is easy to read.
A copy-editor may need to rewrite part of your work with your co-operation.

Project Managing


Ghostwriting, Document management, Publishing assistance, etc.
